The Australian Passive House Association Limited ACN 164 995 082 trading as Australian Passivhaus Association (“the Association”) is committed to protecting your privacy and handling personal information in an open and transparent way. This policy sets out how we collect, use, disclose and otherwise handle personal information. We recognise that any personal information we collect about you will only be used for the purpose we have collected it or as allowed under the law. We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) set out in that Act and any other relevant law.

Collection of Personal Information

The Association collects personal information from website visitors and members to provide them with the benefits of membership and to facilitate transactions on our website. The personal information we collect may include:

  • Contact details, such as name, address, phone number, email address, occupation.

  • Payment information, such as credit card details or bank account information.

  • Other information relevant to membership or events, such as dietary restrictions or accessibility needs.

The services the Association offers include:

  • Education (through our training courses)

  • Networking (events, seminars, conferences, online forums)

  • Research and technical support.

  • Advocacy (promoting public policy through key policy makers & industry bodies).

The Association collects personal information from its new and existing members through application forms and subscription renewal forms. Personal information from non-members who register for our seminars, courses, and conferences, is collected.

What personal information does the Association collect?

Personal information collected from members by the Association is obtained from membership form.

  • Company Name & Professional Title 

  • Address, *City, *Postcode and Telephone numbers 

  • Phone number 

  • *Email address 

  • Describe Yourself/ Profession 

  • ABN

This information is received either directly by the member logging on to the Website, using the membership login page, to access and keep current your personal information, which updates the database automatically, or via the Website, or by email and transferred by the Association staff to our database. Mandatory information for the membership form as marked with an asterisk *.

In addition, on annual renewal of subscription, members are invited to update or correct the information held. All membership data stored in Glue up, (our cloud-based membership management platform) is not available to any other party without the permission of the Association.

We may also ask for some of this information when you register for one of our conferences or seminars. The reason we collect this information is so that we can provide you with our services, manage our relationship with you, communicate with you effectively and identify which of our services will best meet your requirements.

Financial information collected on payment to the Association

The Association may collect certain financial personal information when:

  • members pay fees, renew membership, or register for other services provided to members, or

  • any person (non-members) registers for a paid event or enrol for a course.

The type of information collected depends on the method of payment used by the member and non-member. When a member or non-member uses credit or debit cards, the name on the card and the card number is necessarily collected and recorded for the purpose of processing the transaction only. As the Association has no primary purpose in retaining or using such information we do not store this data. 

The Association uses Stripe as a payment partner to process payments on our website. Stripe uses a combination of security measures to encrypt payment details and protect sensitive information from unauthorized access. These measures include that Stripe is compliant with the Payment Card Industry Data Security Standards   uses tokenization to replace sensitive information, such as credit card numbers, with unique tokens that cannot be used for fraudulent transactions. Stripe also uses Transport Layer Security (TLS) encryption & Secure Sockets Layer (SSL) encryption to encrypt payment details and protect sensitive information. Collection from third parties

In some cases, the Association provides services via third party providers (service providers) and the service providers may use cookies about our handling of cookie data and other technologies to conduct activities which allow us to supply information and online services to you. All web-based connections will have cookies. Cookies are pieces of data sent to your browser when you visit a website and are stored on your computer’s hard drive for a set period or until you delete it. Cookies may store user preferences and other information. 

The cookies are a shortcut for user preferences and provide data for usage analytics. The Association website is developed on Squarespace platform & integrated with Glue up for member portals. Cookie policy for both can be found via the links included.


Use and Disclosure of Personal Information

The Association uses personal information for the purpose of providing members with the benefits of membership, facilitating transactions on our website, and for other purposes related to the operation of the association. This may include:

  • Communicating with members about events, courses, publications, and other resources.

  • Processing payments for membership fees and other charges.

  • Conducting surveys or research to improve our services.

  • Complying with legal obligations, such as reporting to government agencies.

The Association may also disclose personal information to third parties, such as service providers or partners, for the purpose of providing members with the benefits of membership or for other purposes related to the operation of the association. We will take reasonable steps to ensure that any third party is bound by the same privacy obligations as the Association.

We (“The Association”) reserve the right to utilise event images (e.g., chapter meetings, workshops, seminars, website content, training courses, conferences, award ceremonies) and participant photos in our promotional materials. These materials include, but are not limited to, social media posts, newsletters, and promotional brochures. By attending any Association events, you (as an individual) or your organisation give explicit consent for the use of images as described above. Participants or organisations wishing to exclude their images or visuals from association usage can communicate their preference to us at admin@passivhausassociation.au.

Choice/Opt-Out

Our site provides users the opportunity to opt-out of receiving communications.

The Association website gives users the following options for removing their information from our database to not receive future communications or to no longer receive our service:

Security of Personal Information

The Association takes reasonable steps to protect personal information from misuse, interference, and loss, as well as unauthorized access, modification, or disclosure. We also make sure that any third party we disclose personal information to also have a similar protection for the personal information.


Access and Correction of Personal Information

Members have the right to access their personal information held by the Association and to request correction of any inaccuracies. If a member would like to access or correct their personal information, they can log into their membership profile or they should contact the Association office at admin@passivhausassociation.au


Updates to Privacy Policy

The Association may update this privacy policy from time to time to reflect changes to our privacy practices or to comply with changes in the law. Any updates will be posted on our website.
